As our Office Assistant you will provide general support and take care of all office related duties to run the Corporate Office in Amsterdam, as well as being assistant to EVP Commercial Affairs at PPHE Hotel Group. 
    Key responsibilities
    Office Facilitation
    Daily tasks:
    • You will welcome all internal and external guests at the Corporate Office in Amsterdam and ensure the highest level of customer service and communication in a pleasant, clean and safe environment;
    • Manage the telephone – to answer calls, screen calls, and take messages and direct calls appropriately;
    • Handle all incoming mails in the own and info mailbox professionally;
    • Distribution of regular/ registered mail and arranging courier services;
    • Welcoming new team members, making sure a workstation is allocated with all materials required and providing a short fire safety briefing; Setting up meeting rooms as well as assisting with IT-equipment required;
    • You will clean the coffee machine and unload dishwasher at the beginning/ end of each day;
    • Facilitate team members with requests in relation to office matters and stationary required;
    • Reserve parking spots upon request;
    • Be the primary contact with both reception and catering of Motion Building as well as the cleaning company (Bessems Facilitaire Diensten);
    • Ordering office stationary by ordering from Discount Office and arrange weekly grocery deliveries. To stock levels in canteen area such as coffee/ tea supplies etcetera;
    • Be the primary contact with the flower Company (van Poelgeest Bloemsierkunst) and fruit company (Vitamine & Zo).
    • Support with other administration tasks and ad hoc office projects such as office move.
    Assistant Facilitation:
    • Daily support for the EVP Commercial Affairs:
    • Manage the agenda: all internal and external calls/ meetings;
    • Manage travel arrangements: flight and room management and being the primary contact with the travel agent;
    • Support with adhoc commercial projects;
    • Support in absence of PA to CFO & Group Contract Manager.
    In you we are looking to find
    • You would like to work part-time and are available on Monday, Tuesday and Thursday > three days a week (exact days in mutual agreement);
    • You are eager for gaining new knowledge, self-motivated, a real problem solver and goal oriented;
    • Foresee the needs of your colleagues before they do;  
    • MS Office knowledge (Word, Excel, Powerpoint, Outlook) is something you use daily;
    • You possess a good command of English and has excellent communication skills;
    • You have an BA degree;
    • You are passionate about the hospitality industry;
